FRONT DESK ADMINISTRATION ASSISTANT - International Center for Sports Security

Job Purpose:
 To create a first impression impression of ICSS at the Head Office for visitors and staff as well as on the telephone.
 To handle certain ICSS Office Administrative Activities.

Responsibilities:
 Create a first impression of ICSS at the Main Reception
 Answers and screens telephone calls. Independently assesses nature of business. Responds to requests for information and provides assistance
 Handle certain Office Administrative Activities
 Schedules of meetings, internal or external as requested and provide/arrange hospitality.
 Screens and distributes ICSS mail.
 Performs routine and administrative duties such as mailing, typing filing and other duties assigned
 Assists department with administrative support.
 Arrangement of national and international calls.
 Prepares presentation and reports
 Handles ICSS Main printing station
 Performs additional functions incidental to office activities

Process Involvement:
 Maintains a Document Receipt and Delivery Register with acknowledgements.
 Prepares Document Distribution List for all information or transfer instructions.
 Maintains a Task List for actions as per the Instructions of Manager- Administration.
 Prepares Minutes of Meeting and distributes the same to all attendees and applicable functions.
