Job Purpose:
To create a first impression impression of ICSS at the Head Office for visitors and staff as well as on the telephone.
To handle certain ICSS Office Administrative Activities.
Responsibilities:
Create a first impression of ICSS at the Main Reception
Answers and screens telephone calls. Independently assesses nature of business. Responds to requests for information and provides assistance
Handle certain Office Administrative Activities
Schedules of meetings, internal or external as requested and provide/arrange hospitality.
Screens and distributes ICSS mail.
Performs routine and administrative duties such as mailing, typing filing and other duties assigned
Assists department with administrative support.
Arrangement of national and international calls.
Prepares presentation and reports
Handles ICSS Main printing station
Performs additional functions incidental to office activities
Process Involvement:
Maintains a Document Receipt and Delivery Register with acknowledgements.
Prepares Document Distribution List for all information or transfer instructions.
Maintains a Task List for actions as per the Instructions of Manager- Administration.
Prepares Minutes of Meeting and distributes the same to all attendees and applicable functions.
