Fleet Operations Supervisor - Qatar Foundation

Brief Posting Description

• Manage and coordinate the entire QF transport fleet operations to ensure that an effective and efficient service is provided at all times to meet QF routine and mass event transport requirements.
• Determines work priorities in order to meet all requirements of vehicle fleet from various departments located in Qatar Foundation in a timely manner.
• Maintains close coordination with vehicle suppliers/contractors on matters relating to contract implementation.

Detailed Description

• Supervises the activities of assigned personnel and determines work priorities in order to meet all requirements for vehicles/equipment from various departments located in Qatar Foundation in a timely manner.
• Ensures that the terms and conditions of vehicle hire contracts are carried out by Contactors, supervises the checking of vehicles delivered by contractors to ensure that they meet specifications.
• Maintain close coordination with Contractors on matters relating to contract implementation.
• Monitors the performance of contractor vehicles to ensure that Qatar Foundation standards are maintained at all times; advises Contractors of any deviation and corrective action to be taken.
• Organizes the regular inspection of contractor vehicles to ensure that they are maintained as provided for in the contracts.
• Supervise and coordinate the activities for mass event transport requirements.
• Raises reports to the Manager in respect of any long term requirement which leads to a Variation Order.
• Prepares tender documents by recommending and/or reviewing proposed scopes of work and vehicle specifications; participates in the evaluation tenders.
• Check Contractor’s invoices and verifies rates and quantities billed. Allocates charges to appropriate cost centers. Affixes signature on Invoice Registration and Payment Voucher.
• Determines future vehicle requirements and reviews submissions by user departments and forwards justified requirements to Section Head. Recommends manner of acquiring required vehicles consistent with approved strategy.
• Plans distribution of each vehicle as far ahead as possible and ensures that sudden demands on short notice are effectively met. Coordinate and hires light vehicles, luxury coaches and equipment to meet the requirements.
• Draws up specifications for vehicles meant for specific application and prepares materials Requisition for its purchase/lease where necessary.
• Ensures that all vehicles are kept in good condition and their road licenses, registration and insurance are valid.
• Supervises in diagnosing major or recurring faults and/or identifying the nature of the repair work required. Analyses the cause of the breakdown and recommends measures to be taken in order to avoid recurrence of such problem.
• Where necessary, authorizes the repair of owned vehicles by outside workshop by initiating Service Orders. Checks and approves all related invoices.
• Attends coordination meetings within the related Qatar Foundation based Operations Group to keep aware of the transport requirements and to resolve all related problems. Also represents the department in other relevant routine meetings.
• Prepares and submits daily/weekly/monthly yearly reports to Section Head / Manager.
• Carries out special studies and statistical reports as and when required by the Section Head / Manager.
• Ensures that Vehicle Operations in Qatar Foundation are properly staffed with personnel with required skills. Raises requests for any on-the-job training for new employees and staff.
